Booking a Resource

The Resource Planner calendar is divided into individual time cells that represent available booking slots for each resource. Users can create new bookings by selecting the appropriate time slot within the planner.

Creating a Resource Booking

To create a new booking:

  1. Locate the required resource and time slot in the Resource Planner.

  2. Right-click the desired calendar cell.

  3. Select Add New from the context menu.

  4. Enter the required booking details.

  5. Click Save.

The Resource Planner refreshes and displays the newly created booking.

Booking Details

The Add New window allows users to enter the details of the booking.

The available fields are:

Field Name

Description

Users

A complete list of all users within the CRM system. This is a multi-select box so you can select more than one user as a participant. Users do not need to be enabled for Resource Planner access, or viewed as a resource to be present on this list.

Company

The Company associated with this entry. In this case

Person

The Person associated with this entry.

Recipient

An additional free text field that allows you add any additional details you may require for the Participants section.

Action

The Action type to be associated with this entry. We have selected Meeting in our example.

Date / Time

The start date time. This default to the value of the cell you clicked to bring up this screen. In this case 09:30.

End Time

The end date time. This defaults to the value of the cell you clicked plus 30 minutes.

Details

A free text field allowing you to enter any additional details for the entry.

Viewing Bookings

After saving the booking, the Resource Planner refreshes to display the new calendar entry.

The appearance of the booking is determined by the configured Calendar Color Preferences

To view the details of a booking, position the mouse pointer over the booking icon. A summary of the booking information is displayed.
