Contract Workflow

CRM Contract Manager includes a predefined workflow that manages the complete lifecycle of a contract. A contract progresses through a series of workflow stages until it is approved by all required parties. The workflow can also be customized to meet specific business requirements.

The default workflow stages are:

• Editing

• Draft 1 Manager Review

• Draft 1 Supplier Review

• Draft 2 Manager Review

• Approved

Editing

A newly created contract starts in the Editing stage. During this stage, clauses are added and contract details are updated.

When editing is complete, selecting Editing Complete moves the contract to Draft 1 Manager Review.

Draft 1 Manager Review

When the contract enters this stage, an automatic email notification is sent to the approving manager with a link to the contract.

After reviewing the contract, the manager selects Draft 1 Manager Approve, moving the contract to Draft 1 Supplier Review.

The contract can also be moved back to the Editing stage or Draft 1 Change stage if revisions are required.

Draft 1 Supplier Review

An automatic email containing a PDF version of the contract is sent to the supplier for review.

Once the supplier approves the contract, selecting Draft 1 Supplier Approved automatically creates Draft 2, allowing the contract to move to Draft 2 Manager Review.

The contract can also be returned to the Editing stage or Draft 1 Change stage for additional revisions.

Draft 2 Manager Review

After approval by both the manager and supplier, the contract enters the final management review stage.

At this point, additional approvals can be obtained from legal teams or other relevant authorities before final approval.

If required, the contract can be returned to the Draft 2 Change stage for further modifications.

Approved

When the contract reaches the Approved stage, it is considered fully approved by all parties.

The contract becomes active, and the Start Date, End Date, and Notify End Date are calculated automatically.
