# Sales Order Creation and Promotion

#### **Creating a direct Sales Order**

The GUMU™ Sage Integration for Salesforce is a real-time bi-directional link that synchronizes data from Salesforce to Sage 100 and vice versa. You can use the GUMU™ to promote Sales Orders from Salesforce to Sage.

1. Click the Sales Order tab to display a list of all Orders in Salesforce, and click **New** to create a new Sales Order.

2. A new page will open with three tabs where you can add details and promote the Sales Order to Sage 100, in the first tab **Order Information** select the Customer and Address.

3. Use the second tab **ERP Information** to select the required Sage details.

4. In the **Order Lines** tab, you can add products to the order either in bulk using the newly introduced **QLE** feature or individually using the **“Add Product”** button.

**Quick Line Entry:** QLE is an enhancement designed to streamline the process of adding multiple line items to a Sales Order with a single click. This feature significantly reduces the time and effort required.

**Quick Product Search:** QPS provides real-time information like availability and pricing, simplifies product selection in large catalogs, and supports cross-selling, enhances efficiency by allowing users to quickly find and select products, speeding up Order entry while improving accuracy.

**Product Inquiry:** This feature allows you to view real-time Product information in Sage when adding or updating products in Sales Orders in Salesforce.

5. Once all the required details and products have been added, click **Save and Promote**. An ERP Order Number will be generated, and the order will be successfully promoted to **Sage 100**.

To verify whether an Order has been promoted to Sage, navigate to Sales Order > Sales Order Entry and then search the Order number by the ERP order number which has been generated in Salesforce.

### **Creating a Sales Order from a Quote**

Use the Standard Salesforce Sales Workflow to promote a Sales Order to Sage from a Salesforce Quote.

**Note:** Before you choose the Price Book for an Opportunity, make sure both the Price Book and the associated Products are active.

1. Navigate to the **Accounts** tab and select the Account to create an Opportunity.

2. On the Account’s **Related** tab, you can scroll and see the Opportunities section, click the **New** button to create an Opportunity (select the required fields and **Price Book** to select the products for the Quote).

3. After creating the Opportunity, navigate to the created Opportunity and scroll to the Quotes section on the right-hand side under Related.

4. Click the **New Quote** Button on the top right of the Quotes page (or select **New Quote** from the drop down menu next to the Quotes section on the Opportunity page), the New Quote window will pop up, fill in the required fields and **Save.**&#x20;

**Note:** Make sure to fill in the Expiration Date before saving the Quote.

5. You can view the Quote by clicking on the Quote number under the Quotes section of the Opportunity page on the right hand side under Related.

6. To add products to the Quote click the **New ERP Product** button.
7. You can add products to the Quote either in bulk using the newly introduced **QLE** feature under "**Add Multiple Products**" method or individually using the **“Add Single Product”** button.

8. The added product will be listed under the Quote line items section under the **Related** tab.

9. Now, promote the Quote from Salesforce to Sage 100 by clicking on the **Promote Quote** button.
10. To generate the Order from the Quote click on the **Generate Order** button that is located on the right upper corner of the Quote screen.

11. Salesforce will update the Order Generated field on the Quote screen, and a new Order will be generated in Salesforce (a confirmation message indicating the successful Order generation will appear).

12. The **Order Generated** checkbox gets checked automatically.

13. The Order will be visible under both the GUMU **Sales Orders** tab and the standard **Orders** tab within the **GUMU™ Integration** application.

14. Once the Order is generated in Salesforce you can Promote the Order to Sage (if you have [appropriate rights](https://www.greytrix.com/blogs/salesforce/2019/09/10/gumu-features-security-matrix-in-salesforce-lightning-interface/)), and click on the **Edit** button (pencil icon) under the Action Panel.
15. Click the **Save and Promote** button (an ERP Order Number gets generated).

16. To verify whether the Order has been promoted to Sage, navigate to Sales Order > Sales Order Entry and then search the Order number by the ERP Order Number which has been generated in Salesforce.

## <mark style="color:red;">Bulk Post and Bulk Update</mark>

The **Bulk Post Order** functionality allows users to Promote/Post multiple Sales Orders from Salesforce to the ERP system in large batches simultaneously. A Schedule button has been provided to the user having the same functionality as the schedule button available in the Entity Mapping/Import tab.

The **Bulk Post Account** functionality enables users to promote multiple accounts from Salesforce to the ERP system in a single operation.

The **Bulk Update** functionality allows users to update multiple accounts and their related objects (Contacts and Addresses) from Salesforce to Sage in a single operation. This feature enhances data management efficiency by enabling comprehensive updates across related records with minimal effort.
